Snack room needs more stock.

EDI Working Group – Jessica

Department starting a working group. Grad students that started it, transferred to more faculty heavy. Want a present student voice. Want to make formally affiliated with SGSAC group. Outline sent to bgsa. Would like feedback from the BGSA on purpose and action items. Jessica personal priority to offer a survey of students across biosci of rates and types of breaches of EDI. No data available for this type of thing and no good way to report any type of harassment. Perhaps a departmental response unit. 

If anyone interested to join the group, meeting with GSA President, Vice President, and Secretary. No date set yet. Get in touch Jessica if interested. Can reach out to graduate mailing list to ask for more members of subcomittee.

Jenny has update from Phil. They realised it was not feasible to have alcohol (to purchase liquor license) or go through the BGSA. To help with promotions they will look into making a formal club next semester.

Strategic Planning – Kyle

Department has a strategic planning working group (one day intensive workshop-discussion). One of their initiates is an official EDI statement for the department. Invited graduate students to participate in that planning. 10-12 spots available. 

Invited bgsa to decide who to send. Want to be a diverse and representative group.

Create a committee to decide who goes based on whatever criteria.

Those going from BGSA should not be able to serve on the selection committee.

Outline what are important aspects (EDI being important part of that) and ask for people to explain why they would be a good fit. Make it clear that information is confidential and will be destroyed afterwards. Ok to ask program and year, masters or phd, specialization, and PI of lab, and teaching experience (semesters and classes). Are you an international student, is this your first degree at the uofa.

 

Form made by next week. Make clear of what working group will be and what will be involved in the process.

Keep open for 10 days. Email Coltman and get approval before letting students know.

Message from chair has some mention of strategic planning.

Guest Speakers

  • Phil & Yasmine (not present)- 
    • Wednesday Nighters. Weekly Seminar in Ecology Department. Want to bring back as a recurring event, have alcohol at events. Asking BGSA for advice on how to run. Need at least one security, 2 people with EOT and ProServe as sober observers.
    • Advertise to the department or grad list to get a wide breadth of presenters and guests. Possibility of developing a club specifically surrounding this event. Presentations should be in ecology but guests of all departments.
    • Claire, Jenny and Andrew willing to work on it outside of the BGSA.
    • All alcohol has to be purchased through the RATT.

 

Professional Development (PD)

  • Nikki – running PD info session this semester, Aneri potentially taking over next semester. Money from the department for pizza ~$100. Could ask Mark to cover PD information that Deanna usually talks about to make the session more concise.
  • Aim for October 24th at 5, Nikki will check Mark’s availability.

 

Treasurer Update

  • Snack Deposit/Coffee Hour Deposit at beginning of September. 595.60. Losing money. (Reimbursement of ~1600 and only selling around 600). Watch next month if tracking up or down. Revisit then. Antonia redid pricing so we are not losing money on any item.

  • Ping Pong Trophy. Spencer to reach out to Nikki’s labmates boyfriend, Jeff (Chili Cookoff – Fab Shop), or Victor (Strickland) for pricing. Nobody against. Budget of approx. $50.

 

Monthly Meeting Timing

  • Send out another poll. Potential for 1-2 Monday, or Monday morning before lab. No monday morning labs.

 

New Student Q&A

  • 3 students show up, from 3 different labs. Timing was close to orientation, possibly moving it later. Ask Kyle what he thinks.
  • Make it a more casual, bio beer night/student mixer. Deweys or RATT. Licensed location on campus makes event submission easier.

 

SGSAC: Science by the Pint

  • Graduate association student coalition led by Spencer and Andrew, trying to increase communication between departments and faculties and associations. 
  • Science by the Pint – October 4th. Prepaid tickets for The Pint on Whyte. Advertising soon. FCFS for tickets. Andrew, Spencer, Jessica for tickets.
  • Broader membership – to be a voting member, need to be an executive on any departmental approved group. Anyone else can attend meetings.

 

C4W Poster – Lounge

  • More stuff on the walls in the lounge. Ad for C4W so more people are aware.

Housekeeping

  • BGSA Lounge: Andrew
    • Photo contest has submissions, need more research submissions. Have lots of coffee so will keep selling that and will use that for lounge. All baking goods are being provided for the rest of the semester. Want to think about coffee over the summer – at email or elections but no decision on whether we will do it. 

Post-Mortem

  • RE Peter: Spencer/Andrew
    • Beer was leftover, and money was leftover as well. So bought a cart and a projector for the BGSA. Will give awards in cash for some with email paper trails. And will process the rest of the money for it as well.
  • Budget: Spencer/Antonia
    • Have run out of cheques. Will double check speed codes to ensure end-of-year is up-to-date. Should finish off the year at ~$4000.
    • Need a mock budget for the end of the year.

    • Will probably need an additional person over the summer.

Future Events

  • Curling (March): Brian and Courtney
    • 7 teams signed up, 2 teams still need to pay. Brian will hold on to the cash and pay things as necessary. Will book tomorrow or Wednesday. Curling 3-6. Trivia and (free) pizza afterwards.

    • Will plan to have that done before the election. There will be a talk and a pannel.

Housekeeping:

  • BGSA Lounge: Andrew
    • Will get a couple of boardgames from Antonia and Andrew. Will send out a call for boardgames and books in general. Photo contest for putting things up on the wall both research and non-research. To print those would need $60. What other things do we want? How much are we willing to put in? Another $40 for fake plants? Will use coffee money for pictures first, then see from there.
  • Budget update: Antonia and Spencer
    • Coffee sustains itself, and actually makes money. $620 and change in the last 2 weeks. Spend $650 on last snack run. Reminder email of snack room possibly did its job. Will work on making pricing easier for people.
  • Killam mentor award: Colleen
    • Received packages, will send them out today and vote by Friday.

Meeting with Toby Spribille (15/20 min)

  • Graduate opportunities for EcoEvo Seminar
    • Coffee break afterwards is a step in the right direction. In September Felix will leave and Kim will be joining to organize the seminar. Want more grad student engagement. Going forward, want to look at creating themes, making it more well-connected. Want to begin a conversation to see how this could change and become better!
    • Possible ideas: have a seminar for post-docs and graduate students to present, and another for external speakers and professors.
    • Think about how to change courses and requirements for the better. How to integrate seminars and presentations better with coursework.
  • Graduate field trip with visiting students 
    • From a university in scandinavia (Uppsala – SLU)
    • They organize a field trip every few years, look at places to go, vote on it, and their next trip is Alberta. Toby is helping to plan and will be instructing. Tentatively planning 19 August – 2 September, 2019. Staying for 14 days, 9 hopefully with students from University of Alberta at a UofA field station. They will organize joint projects that are completed within the week there. There are several instructors that will go along. They have published this research before. Martin Lake and Kinsella locations? Participation might be free, credits/grades/PD might be possibilities. They do literature seminars beforehand, so doing prep here would make sense.

Housekeeping

  • Working Group on Collegial Governance: Logan
    • On Friday 1 PM CW410, feedback on ideas presented so far and discuss new ones. Main ideas, changing culture on how council works so people are more engaged. Ideas on trying to recoup what was lost with RIGS (research interest groups) and gets the benefits of what they had. Talked in DBS council about having teaching areas/research areas that overlap with different areas. Can grad programs be structured in a different/better way? How do we connect the grad programs to undergraduate programs?

    • Will create forms and a How To to help with future event submissions.
  • BGSA Lounge: Andrew
    • Re-arranged a corner and have coffee canisters now. Coffee could be offered after other seminars as well. Money is being made off of the coffee break, which is great. Will see if Jeff can fix the ping pong table.

    • Different ideas on how to make money. Ask grad students what they want money to be spend on. Need a formal budget that people can look at before planning events.

    • Well attended, but people were not drinking alcohol. That way very little money is being recovered.

    • Was good. Nice working with the department since they have money. Lots of grad students came. Made a package for next year so it will be easier to plan.

    • Good. Department paid for it, which was nice. Will only be one 3MT event per year for department.

  • Q&A with the BGSA once per month with coffee, during lunch. More casual events where a speaker comes to talk about varied events. For example, expenses with Dean, GSA Labour and Collective Agreement, MBSU, etc. Need to think of more.

 

Discussion with Marc Waddingham about BioSci Chair Search Committee

  • What concerns do Grad Students have? What does that mean we want the new BioSci Chair to agree on?

Supervisor and Grad relationship, is it a labour issue?

TAships and RAships, and compensation. Including possible salary increase with increased years of teaching.

Tuition and fees.

Mental health.

Post-grad employment.

(BioSci) Administration and its breakdown. Needs to be more communication, more streamlined, they need to want to talk to us.

The instructor’s track record and their relationship with (their) graduate students.

OHS includes proper treatment in the ‘workplace’. We need more reporting on this, and more talking about this. Need a structure in place to get concerns to the GSA. Great issue to keep on top of, might not be on issue here.

Make sure we have a chair willing to step up to talk about issues and challenge decisions or policies that are created. The chair dictates the community, the relationship between the faculty, staff, grad students, and undergraduates.

Need someone who is well rounded and understands that all parts of the faculties are important.

 

Will include Mark on the invites to previous exec meetings. Will possibly include the fact that he will be there and is there to talk to Grad issues.
